If you require assistance upon arriving Tuesday, please locate either Traci Wei or Kristen Jacobucci at the Registration Desk. Your exhibit space will be labeled and your shipments will be placed next to your table awaiting setup.

Exhibitor Hours
T these are the recommended times to have your table staffed. You are welcome to be at your table all day during the week, internet access will be provided.

What Will Be Provided?
It is the sole responsibility of the exhibitor to rent/provide/purchases any additional support items that are not specifically listed below (please ensure you download the Exhibitor Forms ZIP).

  • 10'x6' space
  • One 6ft' standard table with tablecloth
  • Two chairs
  • One power strip (for use with basic electronics - laptops, chargers, etc.)
  • Connection to wireless internet all week, Internet provided by ACONET and conference network provided by Cisco

Shipping & Customs Information
Please ensure you read this section carefully as we receive an abundant amount of shipments for this conference. When attaching labels, we encourage you to fully tape the label on to your shipments to avoid any lost/detached labels.

  • Customs: Please ensure you thoroughly research international shipping and customs with your preferred logistics provider. Typically this information can be found on your provider's website. Please DO NOT use FIRST.Org or the Hilton Vienna as your customs agent.

  • Hilton Shipping Label: This label must be attached to ALL shipments intended for the conference.

  • Bag Insert Label: This label only applies to sponsor exhibitors that are shipping bag inserts. To help identify boxes, we ask that you please attach this label to those shipments that are to be stuffed in the registration bags. If you use a third-party vendor, please ensure that they use this label.

  • Exhibitor Label: To help us identify your exhibit items, please attach this label to all of your shipments that go with your exhibit setup.

Shipping Window
The Hilton Vienna will only accept packages for the conference on Tuesday, 7th June, Wednesday 8th June and Thursday, 9th of June. If you know that a shipment or shipments will not make the specified shipping window, please contact us at
first-2011@first.org immediately so we can make the appropriate arrangements.

If you are planning to ship conference goodies/handouts for your booth, or are a sponsor sending bag inserts, please use the range 475-500 as your reference point for attendees.

Immediately after shipping, please send a detailed email to Traci Wei (twei@capsllc.net) and include the following information:

  • Date of shipment
  • Tracking Number(s)
  • Name of Logistics Provider
  • Number of Boxes and general shape/size
  • Contents of each

The Hilton Vienna Hotel in association with FIRST.Org, Inc., is not responsible for lost or delayed shipments relating to the conference.

Please ensure you pack the appropriate shipping labels, forms and packaging materials (boxes, tape, etc.) in order to ship your items home at the conclusion of the conference. Hotel staff will take your shipments to the loading dock.

NEW - Network & Win Raffle for Attendees
Conference attendees will receive a "Network & Win" raffle card upon registration check-in. The card will encourage each attendee to make a stop at exhibit tables starting with the Vendor Showcase Tuesday evening through to Friday morning. Exhibitors will receive a unique stamper that should be applied to each attendee card as they make their way through. Make this fun! It's encouraged to have some sort of quiz, survey or action that the attendee should complete before giving them their stamp/sticker. Attendees will be required to turn in their cards no later than lunch on Friday at 12:00. FIRST will raffle four prizes during the closing remarks, the grand prize being a complimentary registration to FIRST 2012 Malta.

If your organization would like to provide a prize for the Friday drawings, please feel free to contact me (first-2011@first.org). Your participation is welcome.

Vendor Showcase
The Vendor Showcase is your highlight event. We encourage you to hold raffles, have special handouts/giveaways, social media contests (Twitter, Facebook, Foursquare, etc.). If you have any questions or would like to run some ideas past the conference staff, please don't hesitate to contact me.
